Shut Down Guide

Follow our water cooler shut down guides to make sure that your staff return to fully functional and clean water dispenser after the break.

As many offices and workplaces prepare for a period of closure over the holidays, we have pulled together some simple step-by-step shut down guides, in order to protect your water dispensers, prevent any bacterial growth and mitigate any potential problems after it has been left dormant for some time. Follow our recommendations below to make sure that your staff return to fully functional and clean water coolers after the holiday closures.

How to shut down your office water cooler

  1. Switch OFF at the mains electric socket
  2. Turn the water supply to the machine OFF, ideally at the point where we have taken the water supply off the mains. Normally this is a simple quarter-turn of the on/off tap. 
  3. Then drain as much water out of the machine as possible through the taps. Be careful whilst drawing out hot water.
  4. When coming to use the machine again, please ensure to turn the water supply on BEFORE the power supply. This will prevent the inlet valve burning out.
  5. If the machine has not been in use for a few weeks, it is important ensure the machine is sanitised before put in to use again. Please contact us on 01905 337187 or sales@thewellbeinggroup.co.uk to arrange for this to be done.

Do I need to be a Wellbeing Group customer to have my “Water Dispenser” serviced?

No, you do not need to be an existing customer to receive our water tap service and support. We provide water dispenser support for any office that has a machine that we stock or supply that needs servicing, however our service plans make it cheaper and less hassle to keep your machine in prime dispensing order. Consult with our service team to see if we can assist with your product.

My water cooler is not dispensing water?

This could be cause by a number of issues, firstly it’s best to carry out some simple checks on the machine, to ensure power is getting to the machine, making sure no switches have been turned off or if any leads have become disconnected. If the machine is receiving power but still not dispensing, please then contact our service team via our service form or call us to arrange an engineer visit to resolve the issue.

My water dispenser is leaking?

If you have a leak please shut off the water supply to your machine immediately, drain any remaining water into a jug/bowl using the tap. We have detailed some potential causes here, if you have explored these possibilities without solution, please then contact our service team via our service form or call us to arrange an engineer visit to resolve any cause. 01905 337187

  • Dripping tap – Over time a slowly dripping tap will fill the drip tray and then the water will start to slowly dribble down onto the floor. Check if the drip try is overflowing and empty, if the dripping persists, please contact our team.

People using the drip tray as a drain – Often people make this mistake of using the drip tray as a drain, causing the drip tray to overfill and water runs doing the machine, giving the impression of a leak. Please make all staff aware if this, if you detect that this is a potential cause.

Water Dispenser not chilling?

If your water cooler doesn’t appear to be dispensing chilled water please try the following:

  • Check that the machine is receiving power and all leads are connected properly and switches have not been turned off.
  • Check that the machine has not been overused. The machine may need time to rechill if it has had a high volume of usage.
  • Ensure the compressor switch is turned on. If it is not, this should be turned on, you will then need to allow 15-20 minutes for the internal tank to chill.
  • If the unit is in a high temperature room, this may affect the temperature of the water. If this is the case, the machine will need relocating

Water Dispenser not heating?

If your water dispenser doesn’t appear to be heating correctly please try the following:

  • Check that the machine is receiving power and all leads are connected properly.
  • Check that the machine has not been overused. The machine may need time to re-heat if it has had a high volume of usage.
  • If your machine dispenses hot water throughout the day but not first thing in the morning, it may be in sleep mode. You will need to complete our service request form to arrange for an engineer to visit to resolve this

Water cooler not dispensing sparkling water?

The most common cause of no sparkling water being dispensed is usually down to an empty C02 tank or a disconnection. Please also check the following steps which may also resolve the issue:

  • Check that the machine is receiving power and all leads are connected properly.
  • Check that the machine has not been overused. The machine may need time to reset if it has had a high volume of usage.
  • If your machine dispenses sparkling water throughout the day but not first thing in the morning, it may be in sleep mode. You will need to complete our service request form to arrange for an engineer to visit to resolve this.

How often do water filters need changing?

Your water dispenser filters will require changing on average every 6 months, If you have a service plan we contact you when they are due for a swap and we arrange an engineer to come and replace this for you. If you don’t have a service plan with us, please get in touch for us to discuss call out costs.
