As many offices and workplaces prepare for a period of closure over the holidays, we have pulled together some simple step-by-step shut down guides, in order to protect your Zip Taps, prevent any bacterial growth and mitigate any potential problems after it has been left dormant for some time. Follow our recommendations below to make sure that your staff return to fully functional and clean Zip Tap after the holiday closures.

How to shut down your Zip Tap

You may have to leave your Zip Taps inactive for an unknown length of time, so it’s important to know how to shut down your Zip Tap, this will prevent any unwelcome build-up of bacteria or risk of leaks whilst not in use.

 

  1. Switch OFF power at the mains electric socket
  2. Next turn the water supply to the machine OFF, ideally at the point where we have taken the water supply off the mains. Normally this is a simple quarter-turn of the on/off tap.
  3. Ensure when the machine is strated up again, to turn the water on BEFORE the power supply. This is imperative to ensure the inlet valve does not burn out.
  4. If the machine has not been in use for a few weeks, the machine may require a sanitisation before put in to use again. Please contact us on 01905 337187 or sales@thewellbeinggroup.co.uk to discuss options for this.

Do I need to be a Wellbeing Group customer to have my “Zip Tap” serviced?

No, you do not need to be an existing customer to receive our water tap service and support. We provide a Zip Tap support service for any office that has a tap and needs servicing; however our service plans make it cheaper and less hassle to keep your machine in prime dispensing order.

My Zip Tap is not dispensing water, what shall I do?

Firstly, enquire whether the water supply to your building has been interrupted at all, often it could be down to localised water pressure. Next, try checking that the water supply to the Zip under counter unit is turned on. Sometimes this could be isolated by a member of staff by mistake and would prevent the cold water supply reaching the tap. Also, check that the power is turned on, and see if there are any error messages shown on the display screen. If you do have an error message showing on your commercial Zip tap, it may be best to speak to one of our service team.

My Zip Tap is leaking or dripping?

If you are experience water leaking from the tap head or under counter unit, immediately switch the machine off at the mains and isolate the water supply to the machine. Contact our water dispenser servicing team who will advise and arrange an engineer to visit your office to resolve.

What to do when the filter light comes on?

Your Zip HydroTap will notify you when the filter replacement is due. The change filter light will flash white once per minute until the filter has been replaced, and the filter percentage will show 0% on the Home screen. To order a replacement filter contact our sales team on 01905 337187 or discuss a maintenance plan where all of this is included and taken care of for you, alongside water dispenser servicing.

How often do water do Zip Tap Filters need changing?

Your Zip Tap will require a new filter every 12 months, (or after 30,000 litres) the change filter light will flash white indicating that a filter change is due and one of our engineers will come out to replace this for you. You can either purchase these diretly from us to replace yourself, alternatively you can save money and hassle with our Zip Tap service plans and one of our engineers will come out to replace this for you. Why do I need a scale filter?

Most of the UK suffers from hard water, and in some areas this can even vary according to which reservoir the water is coming from. Any brand of boiling and chilled unit will very quickly scale up if a limescale filter is not fitted, and a failure attributable to scale is not normally covered by warranty.

What does the red flashing boiling light on a Zip Tap mean?

Flashing red light means boiling water hasn’t reached 99°C yet. Wait for the light to stop flashing before dispensing water, this can typically occur after switch on or after high volume usage.

What does the blue flashing chilled light on a Zip Tap mean?

Flashing blue light means the chilled water hasn’t dropped to the desired temperature yet. Wait for the light to stop flashing before dispensing water, this can typically occur after switch on or after high volume usage.

My Billi Tap is not dispensing water, what shall I do?

Why do the red and blue lights flash on my Billi Tap?

  1. Switch OFF at the mains electric socket
  2. Turn the water supply to the machine OFF, ideally at the point where we have taken the water supply off the mains. Normally this is a simple quarter-turn of the on/off tap. 
  3. Then drain as much water out of the machine as possible through the taps. Be careful whilst drawing out hot water.
  4. When coming to use the machine again, please ensure to turn the water supply on BEFORE the power supply. This will prevent the inlet valve burning out.

My water cooler is not dispensing water?

This could be cause by a number of issues, firstly it’s best to carry out some simple checks on the machine, to ensure power is getting to the machine, making sure no switches have been turned off or if any leads have become disconnected. If the machine is receiving power but still not dispensing, please then contact our service team via our service form or call us to arrange an engineer visit to resolve the issue.

My water dispenser is leaking?

If you have a leak please shut off the water supply to your machine immediately, drain any remaining water into a jug/bowl using the tap. We have detailed some potential causes here, if you have explored these possibilities without solution, please then contact our service team via our service form or call us to arrange an engineer visit to resolve any cause. 01905 337187

  • Dripping tap – Over time a slowly dripping tap will fill the drip tray and then the water will start to slowly dribble down onto the floor. Check if the drip try is overflowing and empty, if the dripping persists, please contact our team.

People using the drip tray as a drain – Often people make this mistake of using the drip tray as a drain, causing the drip tray to overfill and water runs doing the machine, giving the impression of a leak. Please make all staff aware if this, if you detect that this is a potential cause.

Water Dispenser not chilling?

If your water cooler doesn’t appear to be dispensing chilled water please try the following:

  • Check that the machine is receiving power and all leads are connected properly and switches have not been turned off.
  • Check that the machine has not been overused. The machine may need time to rechill if it has had a high volume of usage.
  • Ensure the compressor switch is turned on. If it is not, this should be turned on, you will then need to allow 15-20 minutes for the internal tank to chill.
  • If the unit is in a high temperature room, this may affect the temperature of the water. If this is the case, the machine will need relocating

If this has not resolved the issue, please complete our service form and one of our water experts will be in touch to arrange and engineers’ visit.

Water Dispenser not heating?

If your water dispenser doesn’t appear to be heating correctly please try the following:

  • Check that the machine is receiving power and all leads are connected properly.
  • Check that the machine has not been overused. The machine may need time to re-heat if it has had a high volume of usage.
  • If your machine dispenses hot water throughout the day but not first thing in the morning, it may be in sleep mode. You will need to complete our service request form to arrange for an engineer to visit to resolve this

Water cooler not dispensing sparkling water?

The most common cause of no sparkling water being dispensed is usually down to an empty C02 tank or a disconnection. Please also check the following steps which may also resolve the issue:

  • Check that the machine is receiving power and all leads are connected properly.
  • Check that the machine has not been overused. The machine may need time to reset if it has had a high volume of usage.
  • If your machine dispenses sparkling water throughout the day but not first thing in the morning, it may be in sleep mode. You will need to complete our service request form to arrange for an engineer to visit to resolve this.

How often do water filters need changing?

Your water dispenser filters will require changing on average every 6 months, If you have a service plan we contact you when they are due for a swap and we arrange an engineer to come and replace this for you. If you don’t have a service plan with us, please get in touch for us to discuss call out costs.

Follow our recommendations below to make sure that your staff return to fully functional and clean coffee machine after the holiday closures.

Bean To Cup Coffee Machines

If you have a Granulated Milk Bean To Cup Coffee Machine:

  1. Do routine daily espresso & instant whipper bowl clean
  2. Open machine, remove & empty the milk and chocolate canisters.
  3. Ensure all the product is removed and replace canisters
  4. Switch OFF power at the mains electric socket
  5. Remove manual fill water tank (if applicable) & empty any water and refit the tank
  6. If the machine is plumbed in, turn the water supply to the machine OFF, ideally at the point where we have taken the water supply off the mains. Normally this is a simple quarter-turn of the on/off tap.  Various tap options in the ‘off’ position are shown on the guide below:
  7. Remove the drip tray and coffee waste bin & wash out with hot water
  8. Refit the drip tray
  9. When coming to use the machine again, please ensure to turn the water supply on BEFORE the power supply. This will prevent the inlet valve burning out.

Ensure when the machine is ready to be used again, it undergoes a cleaning cycle run through before consuming any drinks.

Instant Coffee Machines

If you have a Granulated Milk Instant Coffee Machine:

Commercial Espresso Coffee Machines

  1. Use a group head brush to clean all dried coffee grounds from inside the group head.
  2. Backflush all group heads with cleaning powder. Repeat again with just the blank cleaning plate and rinse thoroughly until water runs clean and doesn’t feel soapy.⁠
  3. If your equipment is fitted with an automatic milk frother system, purge the steam wands in hot water for a few minutes.
  4. Wipe steam arms with a safe antibacterial cleaner to remove all milk residue.
    5. Remove the drip tray and wash with warm soapy water and rinse with fresh water. Whilst the drip tray is removed from the machine, pour a small quantity of liquid cleaner or two teaspoons into the waste drain receptor. Refit the drip tray and flush hot water through for approx 20/30 seconds to help clear the waste pipes.
  5. Close the machines mains water supply at its nearest isolation point.⁠
  6. If you have access, turn off the machine at the electrical mains.⁠ During this time off, sediment should not form at low temperatures.⁠ Do not attempt to empty the boiler.
  7. Leave steam valves open to depressurise the machine, leave the valves fully open until turned back on
Espresso Coffee Machines

Restarting Espresso Coffee Machines

1. Purge your water filter of around 10ltrs of water.

2. Turn your machine to marker “1” until your machine has stopped its filling cycle. After this, turn it to marker “2” to begin heating.

3. leave the steam valves open until steam starts to disperse from the wands. and wait for the machine to reach temperature and pressure.

4. Backflush the machine with the blank cleaning plate.

My coffee machine has stopped working?

The LED screens on your coffee machine usually display the type of fault that is occurring. If the error being displayed is not something you are able to resolve, please give our friendly service and technical experts a call, or fill in the service form detailing your issues and machine details and we will call you back with a solution or arrange an engineer call out.

How do I change the water filters on my coffee machine?

If you have a tank-fed coffee machine, it’s very simple to swap out the filter when they are due a change. Simply empty the water tank and pull out the existing filter to replace it with the new. You can purchase new coffee machine water filters directly from our website.

If, however you have a mains fed water supply to your coffee machine, the process of changing the filter is more complex and requires one of engineers to replace this for you.  All included in our service plans, however if you do not have a service plan, please get in touch with our service team to get a quote for a filter change call out, or if would like to switch to one of our plans, where we can keep track of all this for you.

Do I need to be a Wellbeing Group customer to have my “Billi Tap” serviced?

No, you do not need to be an existing customer to receive our water tap service and support. We provide Billi Tap support for any office that has a tap and needs servicing, however our service plans make it cheaper and less hassle to keep your machine in prime dispensing order.

My Billi Tap is not dispensing water, what shall I do?

Firstly, enquire whether the water supply to your building has been interrupted at all, often it could be down to localised water pressure. Next, try checking that the water supply to the Billi under counter unit is turned on. Sometimes this could be isolated by a member of staff by mistake and would prevent the cold water supply reaching the tap. Also, check that the power is turned on, and see if there are any error messages shown on the display screen. If you do have an error message showing on your Billi tap, it may be best to speak to one of our service team.

My Billi Tap is leaking or dripping?

If you are experience water leaking from the tap head or under counter unit, immediately switch the machine off at the mains and isolate the water supply to the machine. Contact our service team who will advise and arrange an engineer to visit your office to resolve.

The heating element may have blown or overloaded. Contact our service team on 01905 337187 to arrange a service of your system.

How often do water do Billi Tap Filters need changing?

Your Billi Tap will require a new filter every 12 months, (or after 30,000 thousand litres) an orange flashing light will appear on your Billi Tap indicating that a filter change is due. You can either purchase these diretly from us to replace yourself, alternatively you can save money and hassle with our service plans and one of our engineers will come out to replace this for you. Why do the red and blue lights flash on my Billi Tap?

Flashing red means boiling water hasn’t reached 99°C yet. Flashing blue means water hasn’t chilled to set temperature. Both lights will glow solid when this happens.

What does it mean when the yellow lights are flashing on my Billi tap?

Yellow flashing lights on your Billi Tap means that there is a fault with your tap. Please call our service team on 01905 337187, who will be able to provide expert advice to try and find solution over the phone. If they are unable to do so, we will arrange an engineer visit to solve the issue.
